Terms & Conditions

These Terms and Conditions apply to your booking with 9 Patch Quilt Retreats. Please review them carefully as they form a binding agreement between you and 9 Patch Quilt Retreats. This document constitutes the entire agreement and supersedes any prior verbal or written representations. By booking a retreat, you agree to these Terms and Conditions, including policies on cancellation, liability limitations, and governing law.

BOOKING & CONTRACT TERMS

By booking a retreat, you confirm you have read, understood, and accepted these Terms and Conditions on behalf of yourself and any others included in your booking. A booking is only confirmed once 9 Patch Quilt Retreats has issued a confirmation email, following receipt of your deposit payment.

A 9 Patch Quilt Retreats representative will reach out to confirm your participation. Please refrain from booking non-refundable travel until you receive final email confirmation from our team.

Please note: Retreats are open to participants aged 18 and older.

DEPOSITS & PAYMENT

A non-refundable deposit and submission of our online booking form are required to secure your spot. Bookings made within 60 days of the retreat start date require full payment upon registration.

• Final Payment: Due 60 days before the retreat. Failure to pay by this date may result in cancellation and forfeiture of your deposit.

• Pricing: All prices are per person in USD. Retreat prices cover retreat activities only and exclude travel, insurance, and other expenses not specified.

MEDICAL CONDITIONS & SPECIAL REQUESTS

We strive to accommodate special requests, including dietary or physical needs. However, certain requests may not always be possible. We reserve the right to decline clients with conditions that cannot be reasonably accommodated.

CANCELLATION POLICY

• Client Cancellations: All cancellations must be submitted in writing via email and acknowledged by 9 Patch Quilt Retreats. Deposits are non-refundable. Payments beyond the deposit may be rolled over to another retreat within one year if a cancellation is made.

  • Refund Eligibility: Refunds beyond the deposit may be granted in cases of severe illness or injury of the client or a close family member.

• Retreat Cancellations by 9 Patch Quilt Retreats: We reserve the right to cancel retreats for unforeseen circumstances. In such cases, you may transfer your deposit to another retreat within one year or receive a full refund.

Please note: 9 Patch Quilt Retreats is not responsible for incidental expenses, including non-refundable travel, associated with cancellations.

AIRFARE

Airfare is not included in retreat pricing. We advise you to wait for final retreat confirmation before making travel arrangements.

CLAIMS & COMPLAINTS

Any complaints should be reported to a Retreat Leader immediately. If satisfaction is not achieved, please email our Chief of Operations during the retreat to allow for prompt resolution. Failure to report issues during the retreat limits your ability to claim compensation.

INDEPENDENT CONTRACTORS & LIABILITY

We work with reputable suppliers and independent contractors for accommodations and other services. 9 Patch Quilt Retreats’ liability is limited to the terms of each supplier and is subject to local laws.

PHOTO & VIDEO CONSENT

Photographs and videos may be taken during retreats and used for promotional purposes. By attending, you grant 9 Patch Quilt Retreats a perpetual, royalty-free license to use images that include you unless you expressly opt out by notifying us in writing.

ITINERARY CHANGES

9 Patch Quilt Retreats reserves the right to adjust itineraries due to unforeseen circumstances to ensure client safety.

SMOKING & DAMAGES

• Smoking: Smoking, vaping, or e-cigarette use is prohibited in rooms and public areas. A minimum $200 fee applies for violations.

• Damages: You authorize us to charge for any damage to hotel rooms or missing items upon checkout.

PARKING & PET POLICY

• Parking: Complimentary parking is provided. Vehicles and contents are left at the owner’s risk.

• Pets: No pets are allowed. Unauthorized animals will incur a cleaning fee.

GOVERNING LAW

These Terms and Conditions are governed by the laws of Utah.

UPDATING OF TERMS & CONDITIONS

We reserve the right to update these Terms at any time. The latest version is available on our website.
